Validation that produces decisions, not a folder of minutes.
Plan validation on a risk basis, let the platform enforce who is eligible to validate what, run the session against a template, and send every recommendation straight into the improvement register with an owner and a date.
Recommendations become work, not minutes. The platform will not let somebody validate a unit they are not eligible to validate.
Checked as you pick the validator
The problem
Validation is where good intentions go to become minutes.
Most RTOs validate. Fewer can show that the sample was chosen for a reason, that the people in the room were eligible to be there, and that what the panel recommended actually happened. The session gets held, the minutes get filed, and the recommendations dissolve.
The failure is rarely the validation itself. It is that validation sits apart from everything else — a separate calendar, a separate document, a separate world from the improvement register where the recommendation needed to land.
Sampling and risk
The sample is chosen by a rule you can state.
Sampling is a policy rather than a guess: how many units to sample before delivery and how many after, with every core unit included by default. A training product can override the global rule, but the override needs a written reason and the change is history-tracked.
Alongside it, each training product carries a risk profile scored against the factors the model defines — regulator interest, enrolment data, recent additions to scope, how often it is delivered, exposure to the training package, and so on. Every factor carries equal weight, and the score and band are computed rather than assigned.
Eligibility and the session
The platform knows who is allowed to validate what.
Eligibility is checked while you pick the validator. Each candidate is scored against competency mapping, industry currency, credentials and independence for that unit, the list sorts by eligibility, and anyone carrying a blocker cannot be selected at all.
Sessions run against a report template so the same things get considered every time, and external validators sign the report electronically without needing a login to your workspace.
- Eligibility scored against the unit, not against a job title
- External validators sign electronically, with no account required
- Recommendations land in the improvement register with an owner and a date
What this replaces
From a folder of minutes to a set of decisions.
- A sample chosen by whoever was scheduling the sessionA sampling policy, with every override carrying a written reason
- Checking validator eligibility from memory, after the factEligibility scored as you pick the validator, with blockers unselectable
- Recommendations that live and die in the minutesRecommendations raised into the improvement register with an owner
- Chasing an external validator for a signed PDFAn electronic signature, with no account needed on your side
Traceable to the Standards
Validation is planned, sampled and recorded as evidence of systematic monitoring of assessment judgements, with every recommendation traceable to what happened next.
- Standard 1.5Validation of assessment practices and judgements
- Standard 1.4Fair and appropriate assessment
- Standard 1.3The assessment system
- Credential Policy §3Credentials for validation
